We are looking for someone to fill a position as a Project Support Technician. Duties would include general administration tasks, corporate marketing, human resource administration, project management support, and document control and safety program management.

Job Description:

  • Performing general reception duties, such as:
    • Provide reception for all visitors
    • Receive deliveries and forward them to the appropriate department
    • Manage phone systems and ongoing Reception phone list
    • Managing out-going and incoming mail, and couriers
    • Responsible for organization, stocking and administration of the company copier/supply room
    • Keep general office area and boardrooms tidy and presentable
  • Administrative support to Executive leadership team Expense reporting
  • Responsible for learning in-house databases, programs, systems, processes, procedures, financial tool and training/onboarding of new and existing employees
  • Assisting the AR team as required
    • Invoicing
    • Expense cheque distribution
    • Sealing/stamping daily correspondence
  • Data entry as required
    • AP expense entry
  • Managing copiers and printers, overseeing supplies and maintenance service requests
  • Assist with other tasks as needed (filing, scanning etc).
  • Develop and maintenance of Entec Information Management System including:
    • Health and Safety Program Administration
    • Human Resource Administration
    • QA/QC/DC Administration
    • Project Controls Administration (BillQuick Software)
    • Office Supplies and Administration
  • Lead Entec Marketing which includes:
    • Website content
    • Brochures
    • Proposals
    • Tools and Templates

Desired Skills & Experience:

  • 3-5 years’ experience in a similar role (preferably Oil and Gas Sector), including experience providing administrative support to senior management
  • Post Secondary Education
  • Experience with Microsoft Outlook, Word & PowerPoint. High competency in Excel is a must
  • Must be a team player and able to work in a dynamic environment
  • High Attention to detail and excellent communication skills
  • Able to multi task and use effective time management
  • Previous experience in Quality Control, Document Control and/or Safety Administrator are strong assets
  • AutoCAD or other drafting experience are highly desireable
